We at Aware AI Technologies Private Limited (together with our affiliates hereinafter referred to as “TheAware.AI”, “company”, “we”, “our” or “us”) values the trust of licensed mental health professionals (hereinafter referred to as “you”) and is committed to protect it in all respects. The company is aware that it will be dealing with personal and/ or sensitive personal information. This privacy policy (“Privacy Policy”) sets out how the company collects, uses, retains, discloses, shares, and safeguards your information/ data. When you register yourself to access the aggregating services (“Services”) associated with mobile application and website designed for our product Mirror, hosted at https://mirrorconnect.app , you confirm that you understand, agree and consent to be bound by the terms and conditions of this Privacy Policy.

You may use our Apps to access one or more of our services and offerings (collectively the “Service(s)“ or “Mirror Service”).

This Privacy Policy is only applicable to the licensed mental health professionals, including therapists, counsellors, and coaches, who can create an account on our Website to provide therapeutic services to clients.

Personal information

We collect information relating to you that identifies you and the following information forms part of personal information (“Personal Information”):

  1. Account Information: When you create an account with us, we will collect information associated with your account, including email address, official identification document, and professional credentials, including, license number along with document verifying your license (“Account Information”).
  2. Payment Information: The platform integrates a secure billing and payment system that enables you to seamlessly receive payments from clients. You can securely store your payment details on the Website (“Payment Details“), which will be encrypted and tokenized for enhanced security measures. Payment processing will be handled by a trusted third-party payment gateway that adheres to industry-standard security protocols and regulations. The Website's secure payment interface will allow you to access and manage various billing-related information and settings, including viewing any applicable registration or platform fees, reviewing invoices raised, checking your billing history, and updating your Payment Details, whenever required.
  3. Other Information: We collect other information that you may provide to us, such as when you choose to post messages on our message boards, blogs or other message areas or leave feedback; when you participate in our events or surveys or provide us with information to establish your identity and when you send us personal correspondence, such as emails or letters, or third parties send us correspondence about your activities or postings on the Website (collectively referred to as “Other Information”).

Personal Information includes sensitive personal data and shall be securely stored on the servers of the company, ensuring privacy and confidentiality. Personal Information is used to interact for authentication and is never sold to a third party.

Website Data

The following information includes data that you create and interact within the Website (“Website Data“), but which does not form part of Personal Information:

  1. Client Communications: The Website portal allows you to securely communicate with your clients through text, chat, audio, or video sessions (“Client Communications“). These Client Communications can be divided into two parts:
    1. During-session data: With respect to the data transmitted during the session, for example, video calls and chats while on call, the company does not record or store them.
    2. In-between-session data: With respect to the data transmitted when not in session, for example, chats and texts outside the session or between two sessions, the company stores them in its server. These in-between-session types of Client Communications are encrypted and stored securely, maintaining the confidentiality of the therapeutic relationship.
  2. Appointment Management: You can schedule appointments with your clients through the Website portal's integrated calendar system. You can provide your available time slots and clients can book those available time slots (“Appointments“). Appointments are stored on the servers of the company, for sending reminders to both the parties.
  3. Session Notes: After each session with a client, you can create detailed session notes within the Website portal. These notes can include observations, treatment plans, and recommendations. Only you can review journal entries shared by your clients, providing you with valuable context and insights into the client's thoughts, emotions, and experiences. The Website portal also offers tools for you to track your clients' progress over time, including monitoring changes in journaling patterns, mood, or overall well-being.

Appointments with your clients, in-between-session Client Communications and your Session Notes are securely stored in encrypted form in our servers and accessible only to you and your respective clients. No during-session Client Communications are ever recorded or stored on our servers. No data is sold to third parties.

Technical Information

When you visit, use, or interact with the Services, we receive the following information about your visit, use, or interactions Technical Information

  1. Log Data: Includes device identifiers, name, and type, operating system, browser type and version, and internet protocol (IP) address. We collect this information automatically when your device interacts with our Services.
  2. Usage Data: We may automatically collect information about your use of the Services, such as the types of content that you view or engage with, the features you use and the actions you take, as well as your geographic location (time zone, country), the dates and times of access. This information helps us understand popular features, optimize content, and improve the overall user experience.
  3. We implement commercially reasonable technical, administrative, and organizational measures to protect Personal Information from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. However, no Internet or email transmission is ever fully secure or error free. In particular, email sent to or from us may not be secure. Therefore, you should take special care in deciding what information you send to us via the Service or email. In addition, we are not responsible for circumvention of any privacy settings or security measures contained on the Service, or Third-Party Sites.

We’ll retain your Personal Information for only as long as we need in order to provide our Service to you, or for other legitimate business purposes such as resolving disputes, safety and security reasons, or complying with our legal obligations. How long we retain Personal Information will depend on a number of factors, such as the amount, nature, and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure, our purpose for processing the information, and any legal requirements.

Unsubscribe

The company provides you with the opportunity to opt – out of receiving non-essential (promotional, marketing-related) communications from the company on behalf of our partners, and from the company in general, after setting up an account.
